Creating and Managing Tags
This article explains how to create new tags, edit existing ones, and delete tags you no longer need.
Creating a New Tag
- Go to Manage → Tags in the sidebar
- Click the Add Tag button in the top-right corner
- Fill in the tag properties (see the field reference below)
- Click Save
The tag is now available to assign to documents.
Tag Field Reference
- Field: **Name**
- Description: The tag label as it appears on documents. Keep names short and clear.
- Field: **Color**
- Description: A visual color for the tag chip. Helps distinguish tags at a glance in the document list.
- Field: **Matching algorithm**
- Description: Controls how Essal Office decides whether to apply this tag automatically. See Auto-Matching for details.
- Field: **Match**
- Description: The text pattern or rule used for matching (depends on chosen algorithm).
- Field: **Case insensitive**
- Description: When enabled, matching ignores capitalization. Recommended for most tags.
- Field: **Is inbox tag**
- Description: Marks this tag as the system's "inbox" indicator. Documents that come from email import are automatically tagged with the inbox tag.
Editing a Tag
- Go to Manage → Tags
- Click the tag you want to edit
- Make your changes
- Click Save
Changes take effect immediately. All documents with that tag will reflect the updated name or color.
Deleting a Tag
- Go to Manage → Tags
- Click the tag you want to delete
- Click the Delete button at the bottom of the edit dialog
- Confirm the deletion
Important: Deleting a tag removes it from every document it was assigned to. The documents themselves are not deleted — only the tag is removed. This action cannot be undone.
If you want to retire a tag without losing the classification it represents, consider renaming it to something like [Archived] OldTagName instead of deleting it.
Bulk Managing Tags
From the tag list, you can select multiple tags using the checkboxes and perform bulk operations. This is useful for cleaning up a large number of unused or duplicate tags at once.
Organizing the Tag List
Tags appear in the management list sorted alphabetically by default. If you find the list hard to navigate, use the search bar at the top of the tag list to filter down to the tag you're looking for.
