Assigning Tags to Documents

Tags can be assigned to documents individually from the document detail panel, or in bulk from the document list.


Assigning Tags from the Document Detail Panel

  1. Click a document to open its detail panel
  2. Find the Tags field in the metadata section
  3. Click inside the tags field — a dropdown appears showing your available tags
  4. Click a tag to add it, or type to filter the list
  5. Add as many tags as needed
  6. Click Save to apply your changes

Removing a tag works the same way: click the × on an existing tag chip to remove it, then save.


Assigning Tags in Bulk

To apply a tag to several documents at once:

  1. Go to the Documents page
  2. Use the filter bar to narrow the list to the documents you want to tag (optional but recommended for large archives)
  3. Check the checkbox next to each document you want to tag, or use the Select All checkbox to select everything currently visible
  4. Click the Edit Selected button in the toolbar that appears at the top
  5. In the bulk edit panel, find the Tags field and select the tags to add or remove
  6. Click Apply

Note: Bulk tag assignment adds the selected tags to the existing tags on each document — it does not replace or clear them. If you want to remove a tag in bulk, choose the Remove Tags option in the bulk edit panel instead.


Tags Assigned Automatically

If you have auto-matching rules configured on your tags, Essal Office assigns them during document processing without any manual action. You can always review and adjust automatic assignments after the document is processed.


Filtering the Document List by Tag

Click any tag name in the sidebar, or use the Tags filter in the filter bar above the document list, to immediately see all documents carrying that tag.

You can combine multiple tag filters at once — for example, filter to documents that have both the Finance tag and the Pending Approval tag to find invoices awaiting sign-off.
