Bulk Actions on Documents
Bulk actions let you update, tag, delete, or download multiple documents in one operation instead of editing them one by one. This is essential when reorganising your archive, processing a batch of newly uploaded files, or making a systemic change across dozens of documents.
Selecting Documents for Bulk Actions
- Go to the document list
- Tick the checkbox on the document cards you want to include
- To select all documents on the current page, use the Select all checkbox at the top of the list
- To act on documents across multiple pages, combine filtering first so that your current view contains exactly the documents you need
Once at least one document is selected, the bulk actions toolbar appears at the top of the list.
Available Bulk Actions
- Action: **Set correspondent**
- What it does: Assigns the selected correspondent to all selected documents
- Action: **Set document type**
- What it does: Assigns the selected document type to all selected documents
- Action: **Add tag**
- What it does: Adds a tag to all selected documents (keeps existing tags)
- Action: **Remove tag**
- What it does: Removes a specific tag from all selected documents
- Action: **Set owner**
- What it does: Transfers ownership of all selected documents to another user
- Action: **Delete**
- What it does: Moves all selected documents to the trash
- Action: **Download**
- What it does: Downloads all selected documents as a ZIP file
Combining Filters with Bulk Actions
For large-scale changes, filter the document list first to narrow the selection to exactly what you want to edit. For example:
- Filter by correspondent "Old Company Name" → select all → set correspondent to "New Company Name"
- Filter by tag "Unreviewed" → select all → remove "Unreviewed" tag, add "Archived" tag
- Filter by date range → select all → download as ZIP for archiving
This approach prevents accidental edits to unintended documents.
Undoing Bulk Changes
There is no single undo for bulk edits. If you make a mistake:
- For correspondent or type changes: filter to the affected documents, select all, and change the field again
- For tag changes: add or remove the relevant tag again via another bulk action
- For bulk deletion: go to Trash and restore the documents from there
Tip: Double-check your filter before selecting all documents. Verifying the count shown in the selection reminder can prevent costly mistakes.
