Filling In Custom Field Values on Documents
Once a custom field exists, you can fill in values on individual documents. Each document stores its own value independently — setting a value on one document does not affect others.
Setting a Value on a Single Document
- Open the document from the document list
- In the metadata panel, scroll to the custom fields section
- Click the field you want to fill in
- Enter the value:
- Text fields: type directly
- Number and monetary fields: type the amount
- Date fields: pick from the date picker or type in ISO format (e.g. 2026-04-15)
- Boolean fields: toggle on or off
- URL fields: paste the full URL
- Document link fields: search for and select another document in your archive
- Save the field (press Enter or click the save icon)
Leaving a Field Empty
You do not need to fill in every custom field on every document. Fields you leave empty simply appear blank in the metadata panel. Empty fields do not appear in most filter results unless you specifically filter for "field is empty."
Editing an Existing Value
Click the field's current value to make it editable. Update it and save. The change is recorded in the document's history log.
Clearing a Field Value
To remove a value from a custom field, click the field, delete the content, and save. The field returns to an empty state.
Monetary Fields
Monetary fields accept a numeric amount. Depending on your organisation's settings, the currency may be fixed or selectable per document. Enter only the numeric value (e.g. 1250.00) — do not include currency symbols in the input field.
Document Link Fields
Document link fields store a reference to another document in your archive. When you click on a document link field value, Essal Office navigates directly to the linked document. This is useful for creating relationships between documents — for example, linking each invoice to its corresponding purchase order.
Filling In Values in Bulk
Currently, custom field values must be set on each document individually. Bulk editing of custom field values is not supported — only correspondent, document type, tags, and owner can be changed in bulk.
