Managing and Organising Saved Views
Over time you may accumulate a growing collection of saved views. Editing, reordering, and cleaning up your saved views keeps the sidebar and dashboard organised and ensures the most useful views are always easy to reach.
Viewing All Saved Views
All saved views are accessible from the left sidebar under the Views section. If you have many views, they may be collapsed — click to expand.
Admins can also see and manage all users' views by going to Management > Saved Views.
Editing a Saved View
To change the name or display settings:
- Go to Management > Saved Views
- Click the edit icon next to the view you want to change
- Update the name, sidebar visibility, or dashboard pin setting
- Save
To change the filters a view uses:
- Navigate to the saved view in the document list
- Adjust the filters or search query as needed
- Click Save view (update the current view) — not "Save as new view"
Reordering Views in the Sidebar
Drag saved views up or down in the sidebar to reorder them. Views you use most frequently should be placed at the top for quick access.
Pinning and Unpinning Dashboard Tiles
To add or remove a saved view from your dashboard:
- Go to Management > Saved Views or edit the view
- Enable or disable the Show on dashboard toggle
- Save
Dashboard tile order can be changed from the dashboard itself — drag tiles to rearrange them.
Deleting Saved Views
For views you no longer need:
- Open Management > Saved Views
- Click the delete icon beside the view
- Confirm
Deleting a view removes it from the sidebar and dashboard. Documents are not affected.
Shared Saved Views (Admin)
Admins can create views that are visible to all users — useful for standard workflows like a company-wide Inbox or a Finance team view. When editing a saved view, look for the Visibility or Shared option.
Users cannot edit shared views created by admins, but they can create their own personal variants by using "Save as new view" while the shared view is active.
Keeping Your View List Lean
A common mistake is creating too many saved views. Aim to keep only views you actually open weekly. Views you haven't used in a month are probably redundant — delete them or consolidate them. A shorter, intentional list is faster to navigate than a long one.
