Sorting and Viewing Document Lists
Beyond filtering and searching, Essal Office gives you control over how the document list is sorted and displayed. Choosing the right view and sort order makes it faster to scan, process, and find documents.
Sort Order
Use the Sort dropdown (usually in the toolbar above the document list) to change the order documents are displayed:
- Sort option: **Date created (newest first)**
- Best used when: Reviewing recently uploaded or recently dated documents
- Sort option: **Date created (oldest first)**
- Best used when: Reviewing historical documents chronologically
- Sort option: **Date added (newest first)**
- Best used when: Processing documents in the order they were uploaded
- Sort option: **Title (A–Z)**
- Best used when: Scanning an alphabetical list
- Sort option: **Title (Z–A)**
- Best used when: Scanning in reverse alphabetical order
- Sort option: **Archive serial number**
- Best used when: Working with ASN-indexed documents in sequence
- Sort option: **Score (relevance)**
- Best used when: Active when a search query is entered — most relevant results first
Switching Between Card and List View
Essal Office supports two display modes:
- Mode: **Card view**
- Description: Each document is a thumbnail card showing a page preview, title, date, tags, and correspondent. Good for visually identifying documents.
- Mode: **List view**
- Description: Documents appear as compact rows in a table, showing more documents per screen. Good for processing and reviewing large batches.
Toggle between them using the view mode icons in the toolbar. Your preference is remembered between sessions.
Document Cards in Card View
Each card in card view shows: - A thumbnail of the first page - The document title - The date - The correspondent (if assigned) - The document type (if assigned) - The tags
Clicking a card opens the full document. Hovering over a card shows quick-action icons for downloading or deleting.
Adjusting Columns in List View
In list view, the columns displayed can sometimes be adjusted. Look for a column settings icon if you want to add or remove which document fields appear as columns.
Display Settings per Saved View
When you save a view, the current sort order and display mode are saved as part of it. This means your "Finance Inbox" view can be set to sort by date, while your "All Contracts" view sorts alphabetically — each loads with its preferred settings automatically.
Showing More Documents Per Page
If you want to see more results before scrolling, look for a results per page setting in the toolbar. Higher values show 50 or 100 documents per page instead of the default.
