Configuring an Email Account for Import
Setting up email import requires adding a mail account in Essal Office's settings. Essal Office uses IMAP to connect to the mailbox and retrieve messages. You will need access credentials for the dedicated import mailbox.
Before You Start
- Create or designate a dedicated email address for imports (e.g.
archive@yourcompany.comordocuments@yourcompany.com) - Obtain the IMAP server hostname, port, and login credentials for that address
- Ensure that IMAP access is enabled for the mailbox in your email provider's settings
- Confirm the mailbox is empty or contains only emails you want imported on first run
Adding a Mail Account
- Go to Settings (or Administration > Mail Accounts)
- Click Add mail account
- Fill in the connection details:
- Field: **Account name**
- Description: A label for this account within Essal Office (e.g. `Invoice Import`)
- Field: **IMAP server**
- Description: The hostname of your IMAP server (e.g. `imap.yourprovider.com`)
- Field: **IMAP port**
- Description: Typically 993 for SSL/TLS or 143 for STARTTLS
- Field: **Username**
- Description: The login username for the mailbox (usually the full email address)
- Field: **Password**
- Description: The account password or app-specific password
- Field: **Security**
- Description: Select SSL/TLS or STARTTLS matching your server's requirements
- Click Test connection to verify Essal Office can reach the mailbox
- Click Save if the test succeeds
IMAP Security and App Passwords
Most modern email providers (Google Workspace, Microsoft 365, etc.) require you to generate an app-specific password rather than using your main account password. This is more secure and avoids account lockouts if 2FA is enabled. Generate the app password from your email provider's account security settings and use it in the Password field above.
Configuring Mail Rules
After adding the mail account, you define mail rules — conditions that tell Essal Office what to do with each incoming message. See Setting Up Mail Rules.
Testing the Import
After setup, trigger a manual import check. Go to the mail account in settings and click Run import now (or equivalent). Check whether expected messages have been processed. Any errors in connecting or processing are logged and visible in the task queue.
