Managing Users

User accounts control who can log into Essal Office and what they can do. Admins manage all user accounts from the Administration panel.


Viewing All Users

  1. Go to Administration in the left sidebar
  2. Select Users

The user list shows every account on your Essal Office instance — active users, admins, and any that have been deactivated.


Creating a New User

  1. Click + Add user
  2. Fill in the user's details:
  • Field: **Username**
  • Description: The login name. Typically the user's email or firstname.lastname.


  • Field: **Email**
  • Description: The user's email address. Used for password resets and notifications.


  • Field: **First name / Last name**
  • Description: Display name within the application.


  • Field: **Password**
  • Description: Set an initial password. The user can change it after logging in.


  • Field: **Is active**
  • Description: Enable to allow the user to log in. Disable to block access without deleting the account.


  • Field: **Is staff**
  • Description: Grants access to the admin panel (use with care).


  • Field: **Is superuser**
  • Description: Full unrestricted access to everything. Reserve for system administrators only.

  1. Click Save

Inviting Users

Depending on your Essal Office configuration, you may be able to invite users by email. They receive a link to set their own password and activate their account.


Editing a User

  1. Click the username in the user list
  2. Update any fields
  3. Save

Deactivating a User

When an employee leaves:

  1. Open the user's account
  2. Uncheck Is active
  3. Save

The account is preserved with all its history, but the user can no longer log in. Before deactivating, consider reassigning their documents to another owner (see Changing Document Ownership).


Deleting a User

Deleting a user permanently removes the account. Documents they owned become unowned. This action cannot be undone. Deactivating is safer for most cases — delete only if the user and their data are fully no longer needed.


Password Resets

Users can reset their own password via the login page if your instance has email configured. Admins can also set a new password directly from the user edit page.
