Document Processing Errors

When a document fails to process correctly, Essal Office logs an error in the task queue. This article explains how to find processing errors, what they typically mean, and how to resolve them.


Finding Processing Errors

  1. Go to Administration > Tasks (or the task queue)
  2. Filter to Failed or Error status tasks
  3. Click on a failed task to see the error message

The error message usually identifies the cause — a file issue, a processing timeout, an unsupported format, or a configuration problem.


Common Error Types

"File could not be read" or "Invalid file format"

The file is corrupted or in a format Essal Office cannot process.

Fix: - Download the original file and verify you can open it with another application - If corrupted, re-scan or re-obtain the file - Check that the file type is supported (see Supported File Types)


"OCR failed" or "Text extraction failed"

The OCR engine could not extract text from the document. The document is still stored and accessible, but it won't be searchable by content.

Common causes: - The scan is extremely low resolution or very dark - The document is an image with very small text - The file has an unusual encoding

Fix: Re-scan the physical document at a higher resolution (300 DPI or higher is recommended for reliable OCR). Re-upload the new scan.


"Processing timeout"

The document took too long to process and was abandoned.

Common causes: - Very large file (many pages, large file size) - Server load at the time of upload

Fix: Try re-uploading the same document. If the problem persists with a specific file, split the document into smaller sections (see Splitting a PDF) and upload the sections separately.


Permissions or Storage Errors

Error messages about "permission denied" or "storage unavailable" indicate a system configuration issue, not a problem with your document.

Fix: Contact your Essal Office administrator. This is not something a regular user can resolve.


Retrying a Failed Task

In some cases, you can retry a failed task:

  1. In the task queue, find the failed task
  2. Click Retry if available

If retry is not possible, delete the failed document entry and re-upload the file.


Persistent or Unexplained Errors

If a document consistently fails with an unclear error message, collect the following and contact Essal Office support:

  • The exact error message from the task log
  • The file format and approximate size
  • Whether other documents of the same type succeed or fail
